Yeager, Watson & Associates, LLC (YWA) is seeking a highly organized and detail-oriented individual to join our architecture office as an Administrative Assistant. As an integral part of our team, you will provide essential administrative support, ensuring the smooth operation of our office and contributing to our overall efficiency and success. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a proactive approach to problem-solving.
Answer incoming phone calls and provide professional and courteous assistance to callers, directing them to the appropriate staff members or taking detailed messages when necessary.
Sort, organize, and maintain physical and digital files, ensuring accurate and efficient document management.
Assist with the preparation, formatting, and editing of documents, including reports, proposals, and correspondence.
Respond to emails and inquiries promptly, providing clear and concise information or forwarding them to the appropriate individuals for further action.
Support the office in day-to-day tasks such as photocopying, scanning, filing, and mail distribution.
Collaborate with team members to ensure smooth communication and workflow within the office.
High school diploma or equivalent; additional certifications or training in office administration is a plus.
Previous experience in an administrative role.
Proficient computer skills, including experience with Microsoft Office Suite (Word, Excel, and Outlook) and Adobe PDF management software.
Excellent verbal and written communication skills.
Strong organizational skills with the ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
Attention to detail and accuracy in handling paperwork and managing data.
Proactive and self-motivated, with the ability to take initiative and work independently as well as collaboratively.
Exceptional interpersonal skills and a friendly, customer service-oriented approach.
